If your agency runs prospecting for several clients, the hard part usually isn’t finding leads. It’s keeping each client’s leads in the right place. A dentist in Ohio and a roofing company in Texas need different prospects, and neither should see the other’s pipeline. This guide shows how to run prospecting for many GoHighLevel clients from one CRMCoPilot account.
How the setup works
CRMCoPilot connects to GoHighLevel natively, and you can connect more than one location to the same CRMCoPilot account. Each saved search and each Autopilot agent then has its own destination, so you decide, client by client, which location receives which leads.
In practice that means one login for your team, one place to manage credits, and a separate lead flow for every client.
Step 1: Connect each client’s location
- In CRMCoPilot, open Settings → Integrations.
- Click Connect next to GoHighLevel and sign in. You approve access through GoHighLevel’s own sign-in, so there are no API keys to copy.
- Repeat for each client location you manage.
Step 2: Build a search for each client’s ideal customer
Every client sells something different, so give each one its own saved search. You can filter by job title, company, industry, keywords, location, company size and technology, or describe the buyer in plain English, for example “owners of roofing companies in Dallas with 10 to 50 employees”.
If you add the client’s products and services, CRMCoPilot ranks results by how well each prospect fits what that client sells, so the strongest matches come first.
Step 3: Choose where the leads go
When you export leads from search results, pick the client’s GoHighLevel location as the destination. Each new contact arrives with the prospect’s name, job title, company, location and verified email, plus a phone number if you unlocked one.
Before exporting, CRMCoPilot checks for existing records by email and company domain, so you don’t flood a client’s account with duplicates. Keep GoHighLevel’s own duplicate settings on as a second safeguard.
Step 4: Put each client on Autopilot
Once a search works, turn it into an Autopilot agent. The agent runs the saved search on the days and time you choose, checks new emails for deliverability, and delivers a set number of leads per day into the location you pick. You can assign leads to a fixed owner or round-robin. Undeliverable emails are skipped without using credits.
Because each agent has its own filters, schedule, daily volume and destination, one client’s prospects never end up in another client’s pipeline.
Step 5: Let GoHighLevel take it from there
CRMCoPilot creates the contact; whatever workflows you’ve built in that location to react to new contacts run as normal. That’s where your agency’s own follow-up, pipelines and reporting take over.
Things to know before you start
- Plan limits apply across clients. Credits and the number of Autopilot agents depend on your plan, so size your plan to the number of clients and the daily lead volume you need. See pricing.
- Clients don’t log in to CRMCoPilot. Today the agency runs CRMCoPilot, and clients see the results in their own GoHighLevel location.
- Outreach rules still apply. B2B outreach is regulated, for example by CAN-SPAM and GDPR. Make sure each client’s campaigns include an opt-out and honor removal requests.
